Portfolio report
How much money you have out on the street, what state it is in and who manages it.
The portfolio report answers a lender's most basic question: how much money do I have out on the street right now? It is a snapshot at a date: how much you have disbursed, how much principal is still outstanding, and how it splits across loan statuses and collectors.
Use it to close the month, to decide how much you can lend without running out of cash, or to see at a glance which collector carries the heaviest book.
Available on Gold and Premium. Business reports are a plan module. On top of that, an agent needs the reports:read permission to see them; the owner always can. See Plans and billing and Roles and permissions. How to use it
Go to Reports → Portfolio. The only filter is As of: the date of the snapshot. Leave it empty and today is used (including today's own activity). You can set a past date to see how your book looked that day.
The numbers at the top
Figure | What it means |
|---|---|
Outstanding principal | Sum of principal still owed on live loans. This is "money on the street". |
Total disbursed | Sum of all principal you have lent (any status). |
Average loan | Total disbursed ÷ total loans. |
Total loans | Every loan in existence at the cut-off. |
Live loans | Those not paid, archived or marked uncollectible. |
By status
One row per loan status (Active, Paid, Archived and Uncollectible) with these columns:
Column | What it holds |
|---|---|
Status | The loan's status. |
Loans | How many are in that status. |
Disbursed | Principal lent in that status. |
Outstanding principal | Principal still owed, at the cut-off date. |
This is the table that tells you whether your book is healthy (plenty in Active and Paid) or whether Uncollectible is piling up.
By collector
One row per collector, plus an Owner / office row for everything assigned to nobody (whatever you manage directly):
Column | What it holds |
|---|---|
Collector | Name of the assigned agent, or Owner / office. |
Live loans | Active loans in their care. |
Loans | Everything assigned to them, in any status. |
Disbursed | Principal lent within their book. |
Outstanding principal | Live principal they manage. |
Reconciliation with the ledger
Below there is a reconciliation block comparing the outstanding principal shown here (the operational view) with the balance of account 1200 (Portfolio) in your double-entry books. In a healthy business, both match.
If you see a difference, it is normally one of these three reasons, and none is a bug:
- Loans written off as uncollectible: accounting-wise they already left account 1200, but operationally the loan keeps its amount.
- Manual principal adjustments, which move the ledger without a payment behind them.
- A past cut-off date: you are comparing yesterday's snapshot against today's ledger balance.
Edge cases
- A brand-new business with no loans: the report does not fail, it shows all zeros.
- A deleted collector who had a book: their loans stay assigned to them until you reassign them. See Blocking or deleting an agent.
