Cash permissions
The five cash permissions, what each unlocks, and why a collector should not see the business balance.
The cash box has five independent permissions. They are granted per agent from Agents → edit permissions.
The account owner always has all of them: there is no need to grant them.
The five permissions
Permission | What it unlocks |
|---|---|
View cash | The Cash menu, the shift status (open/closed, who opened it), the session history and the movement list of each session. |
View cash statistics | The business money figures: cash box balance, business movements, shift totals (delivered / collected / expected now), the per-agent breakdown, and the "Cash" card on the dashboard. |
Open cash session | The Open cash box button. |
Close cash session (count) | The Close cash box button and the count. |
Fix the opening balance | Change the opening balance of the cash box that is currently open, when it was opened with the wrong amount. It requires a written reason and is recorded along with the previous and the new amount. |
The distinction that matters: seeing the cash box ≠ seeing the business money
This is the key design decision: "View cash" and "View cash statistics" are deliberately separate.
A collector with View cash can:
- Check whether the cash box is open before heading out on a route.
- Open the history and see a shift's movements.
But they will not see:
- The business's cash box balance.
- The shift totals (how much was collected and delivered in total, how much is expected at close).
- The per-agent breakdown (how much each of their colleagues collected).
- The Cash card on the dashboard.
Those cards show a notice along the lines of "You need the cash statistics permission to see the session totals".
Why: how much money the business holds, how much was lent and how much was collected in total is not the collector's information. Their own numbers (their route, what they collected, their shift) are available with no permission at all under "My performance". See Cash by collector.
Collecting does NOT need cash permissions
This is the point that confuses people most. To record a payment an agent needs:
- The permission for the operation (record a payment, create a loan, collect a service…), and
- An open cash box: the business's one, no matter who opened it.
They need no cash permission at all to collect. If they try to collect with the cash box closed, they see "The cash box is closed. Open it to record movements." with a button to Cash (a button that, without the Open cash session permission, will do them no good).
That is where the most common setup comes from.
Recommended setups
Profile | Cash permissions I grant | Result |
|---|---|---|
Street collector | None (or only View cash) | Collects with no trouble as long as the owner keeps the shift open. Does not see business money. Still sees their own numbers under "My performance". |
Collector who starts their own day | View cash + Open cash session | Can start working without waiting for the owner, but the owner still runs the count. |
Branch manager / right hand | All five | Opens, closes, counts and sees every figure. Effectively a second owner as far as cash goes. |
Bookkeeper or supervisor who handles no money | View cash + View cash statistics | Sees everything, opens and closes nothing. |
Be careful with Close cash session: whoever can close can also leave the rest of the team unable to work (with the cash box closed, nobody collects), and they are the one declaring the day's shortfall or surplus.
Final details
- The Cash module is included in every plan, starting with Basic (Plans and billing). What scales with the plan is the number of agents you can grant permissions to.
- If an agent does not have "View cash", the Cash item does not even appear in their side menu.
- Removing a permission takes effect immediately: the agent does not need to sign in again to stop seeing the figures.
