Arrears
The overdue portfolio: what counts as late, how it is ordered, how to collect and when to write it off.
Arrears is the collector's worklist: every loan with an overdue installment, with its arrears already computed, oldest delay first.
What counts as overdue
A loan shows up in arrears when its next payment date has passed and the loan is not settled, written off, or archived.
Careful: "overdue" is not the same as "with arrears". A loan can be overdue and carry zero arrears if it is still inside its grace days. It shows up anyway (so you can call before the surcharge starts running), but with no surcharge. See How arrears are calculated.
What the list shows
For each overdue loan:

Order is oldest delay on top: worst arrears first.
Available filters: by client and by minimum days late (for example, "show me only 30 days or more").
The Total to collect this list shows is exactly what will be charged if you collect right now. Arrears are recomputed on the fly, with today's date: there are never two numbers.
Collecting the arrears
You can collect straight from the arrears entry. It is a deliberately narrow collection: it charges the current overdue installment, in full, with its arrears.
- The server derives every amount (installment, principal, interest, arrears and days late). You only state the cash received and, if applicable, the change. The amount cannot be overridden: that is the protection against accidentally under-charging.
- It automatically subtracts any ongoing partial on that installment: a client who already paid something only owes the difference, and arrears are computed on that difference.
- If the loan is not overdue, this route does not apply ("The loan is not in arrears"): collect from the loan with Recording a payment.
- It requires an open cash drawer and the arrears-collection permission.
Need to collect only part of it, another installment, or negotiated arrears? Use the loan's normal collection, which exposes every field. Client owes several installments? Use bulk collection.
Marking as uncollectible
When a loan will not be recovered, you can mark it uncollectible (requires its own permission).
When you do:
- It leaves the arrears list and stops accruing arrears.
- It stops counting as an active loan.
- It can be undone: it is not a delete, it is a loan status.
Everyone sees their own
A collector only sees, and can only collect or write off, the loans assigned to him. The owner sees the whole overdue portfolio.
Automatic alerts
Every day Prestafolio scans the portfolio and notifies the loans that entered real arrears (those that crossed their grace period). A loan that is overdue but still in grace does not trigger an alert: it will on the day it crosses. And it notifies once a day, not on every scan.
Seeing arrears across the business
The Gold and Premium plans include the arrears aging report: the overdue portfolio bucketed into 1-30 / 31-60 / 61-90 / over 90 days, with number of loans, overdue balance and arrears per bucket, and a breakdown by collector.
That report uses the same calculation as this screen, so the figures never contradict each other.
