Blocking or deleting an agent
When to suspend a collector temporarily and when to remove them to free up their seat.
When a collector stops working with you, you have two distinct tools, and choosing right matters.
| Block | Delete |
|---|---|---|
App access | Cut off immediately | Cut off immediately |
Seat on your plan | Still taken | Freed |
Permissions | Preserved | Revoked |
Reversible? | Yes: Unblock and they are back as they were | You must invite them again (and they accept again) |
Their history (collections, loans) | Preserved | Preserved |
Rule of thumb: block if it is temporary (holidays, a suspicion you are looking into, a dispute). Delete if they really left or if you need the seat for someone else.
Blocking
Agents → row menu → Block. The agent switches to Blocked: if they were inside the app, their session is cut right there, not at their next sign-in.
To reverse it, Unblock: they get access back with exactly the permissions they had.
You can only block someone who already accepted their invitation. An agent still showing Invitation sent cannot be blocked or unblocked: there is no access to suspend. If you try you will see: This agent has not accepted their invitation yet: they have no access, so there is nothing to block. Their only actions are resend invitation and delete.
A surprising detail: if you block someone before they accept and they then accept, they stay blocked. Accepting does not unblock.
Deleting
Agents → row menu → Delete. On confirmation:
- They lose access instantly and all their permissions are revoked.
- If they had a pending invitation, it is voided (that link and code are now useless).
- Their seat is freed, so you can invite someone else in their place.
- Their history is preserved: the payments they recorded, the loans they managed and the cash movements are all still there. Nothing is erased from your books.
Before deleting: reassign their portfolio
Deleting an agent does not automatically reassign the loans in their care: those loans still point to them. Before removing them, open their loans and assign them to another collector (or leave them unassigned, which makes them office portfolio). That way you never lose track of who collects what.
Inviting them back
If you deleted them and want them back, simply invite them again with the same email. Their record comes back, but they must accept the new invitation: their previous acceptance no longer counts.
If you are downgrading
Downgrading from Premium (10 agents) to Gold (5) requires that you have no more agents than the new plan allows. Remember that blocked agents count too: if you need room, you must delete, not just block. See Plans and billing.
