Your plan limits
What is unlimited, what is not, how each limit is counted and what happens when you hit it.
First, the good news: the paid plans do not charge you for growing. Clients, loans and recurring services are unlimited on Basic, Gold and Premium; on those plans only two things have a cap: how many agents you can have and how much space your files take up.
The Free plan is the exception and the way in: you start without paying and without a card, but it does cap clients, loans and services (you can see them in the table).

Beyond the quota, your plan also decides which modules you get:
- Free: clients, loans, payments, arrears, calculator, legal documents, cash and recurring services, within the caps in the table. It does not include the Accounting or Audit panels (your books still balance under the hood, but you don't see the reports).
- Basic: everything in Free without the caps on clients, loans and services, plus the accounting panel, the audit trail and 2 GB of storage.
- Gold: everything in Basic plus requests, agent management, accounting reports and business reports (portfolio, collections, performance, arrears).
- Premium: every module, including the financial statements (Balance Sheet and Income Statement).
If you try to open a section your plan does not include, the app either hides it or tells you the module is disabled. The fix is to upgrade.
The Free plan
The Free plan ($0, no card) is for getting started: you create loans and collect without paying anything, and you upgrade as your operation grows. Its caps are 8 clients, 4 active loans, 4 active services, no agents (it's just you, the owner) and no file storage. It also does not include the Accounting or Audit panels.
The day any of those caps falls short, moving to Basic gives you unlimited clients, loans and services, 2 GB of storage and the accounting panel. Prices are in Plans and billing.
Agents: how a seat is counted
The agent limit is the one that causes the most confusion, so let's be precise:
- The owner does not take a seat. "Up to 6 agents" means 6 collectors on top of you.
- A blocked agent still holds their seat. Blocking suspends their access but does not free the seat.
- Only deleting the agent frees the seat.
When you try to invite an agent above the cap, the invitation is rejected with a message along the lines of "You have reached your plan's maximum number of agents", showing the limit and how many seats you are using. The count is settled authoritatively at creation time, so there is no way to sneak in an extra agent with two simultaneous invitations.
What to do:
- Delete (don't just block) an agent who no longer works with you, or
- Upgrade from Billing.
Neither Free nor Basic includes agents. If you work with collectors, your minimum plan is Gold.
Storage: one shared quota
Your plan's space is a single pool for the whole account: it is consumed by the files attached to all of your clients. When an upload would push you over the quota, it is rejected and you are shown how much of your space is already in use.

Audit history
Not a quota, but it also depends on your plan: the record of who did what is kept for 30 days on Basic, 60 on Gold and 90 on Premium. An automatic cleanup deletes anything older, and what gets purged cannot be recovered. See Audit trail.
Fine print worth knowing
- Usage can take up to a minute to refresh. Prestafolio caches the count for about 60 seconds for performance. If you just deleted an agent and the system still says you are at the cap, wait a moment and try again.
- Upgrading applies the new quota immediately, without waiting for the next billing cycle.
- Downgrading with more agents than the new plan allows does not block the change: the downgrade goes through and the agents you already have keep working normally. What you cannot do is invite more until you are back under the new cap. The limit is checked when you invite, not when you change plan.
- If you cancel, your account is left with no plan and the modules are disabled once the paid period ends: you lose access to the features, but your data is not deleted. See Managing your subscription.
- One-off exceptions. The Prestafolio team can adjust a specific limit for your account (for example, extra storage without changing your plan). It is not something you configure in the app: write to us if you need it.
