Managing your subscription
Check your plan, switch monthly/yearly, update your card, download invoices, cancel and reactivate.
Everything to do with the money you pay Prestafolio lives on a single screen: Billing. From there you see which plan you are on, when it renews, you switch plans, update your card, download invoices and cancel if you need to.
Only the account owner sees Billing. This is deliberate: the subscription, the payment method and the invoices belong to the business owner, not to collection staff. An agent cannot view or change them, no matter how many other permissions you grant them.

What you see on Billing
The screen has three blocks:
- Your subscription: your plan name, a status badge and a countdown: "your trial ends in 12 days" or "renews in 23 days". On the right, the buttons to manage it.
- Plans: the Basic, Gold and Premium cards, with a monthly / yearly toggle. Each card's button changes depending on your situation (see below).
- History: your latest invoices and the card you have on file.
Subscription statuses
Badge | What it means |

Trialing | You are in the 30 free days. You will see how many are left. |
Active | All good. You will see the next renewal date. |
Past due | A charge failed. You need to update your payment method as soon as possible. |
Canceled | The subscription ended. Modules are disabled. |
If a red past-due notice appears, do not let it slide: once Stripe exhausts its retries, the subscription is cancelled and you lose access to the features.
Subscribing for the first time
If you have never paid (you are on the free trial), every plan card shows "Choose plan".
- Pick monthly or yearly with the toggle at the top. (Yearly equals ten months: you save two.)
- Press Choose plan on the card you want.
- You are taken to Stripe's secure payment screen. Prestafolio never sees or stores your card.
- When you are done, you land back on Billing with your plan already active.
If you close the Stripe tab halfway through, nothing happens: nothing is charged and you can start again. If the payment went through but the screen has not caught up yet, reload: the confirmation retries on its own.
Switching plans (or monthly to yearly)
Once you have a subscription, the other plan cards show "Switch to this plan", and yours shows "Current plan" (disabled).
- Select the interval (monthly or yearly) with the toggle.
- Press Switch to this plan on the target plan.
- The change is applied in place, without going through the payment screen: the card you already have on file is used.
- The page reloads itself to refresh your permissions and your new limits.
About the charge: Stripe prorates the difference. If you upgrade mid-month, you are only charged the proportional part of what is left; if you downgrade, the credit is applied to your next invoice. You never pay twice for the same month.
Switching from monthly to yearly (or back) is exactly the same gesture: stay on the plan you already have, move the toggle to the other interval and press Switch to this plan on your own plan: the card stops saying "Current plan" because the selected price is no longer the one you pay.
If the plan change fails
- "The payment was declined": your bank refused the prorated charge. Update your card from Manage payment and try again.
- "Payment confirmation required": your bank is asking for authentication (3-D Secure). Open the Stripe portal from Manage payment and complete the pending verification.
In neither case are you left half-switched: either the charge goes through and the plan changes, or everything stays exactly as it was.

Updating your card and getting invoices
The Manage payment button opens Stripe's customer portal on a separate page. There you can:
- Change or add a card.
- Update your billing details.
- Download any invoice as a PDF.
Your latest invoices are also listed directly in the History block of the Billing screen, without leaving Prestafolio.
Cancelling
The Cancel button opens a confirmation before doing anything. The key thing is to understand what exactly gets cancelled:
- You do not lose access immediately. The cancellation is scheduled for the end of the period you already paid for. If you cancel on the 3rd and your cycle ends on the 28th, you keep working normally until the 28th.
- In the meantime, you will see a notice with the exact end date, and the Cancel button turns into Reactivate.
- You will not be charged again.
What happens when the date arrives
When the period expires, your account is left with no plan: modules are disabled and you can no longer use the app's features (clients, loans, payments, reports…).
Your data is NOT deleted. Clients, loans and history are all still there. What gets switched off is access. If you subscribe again, you get your data back exactly as you left it.
Reactivating
While the cancellation is scheduled but not yet effective (that is, before the paid period ends), you can change your mind:
- Press Reactivate on your subscription card.
- The cancellation is called off and the subscription renews normally again.
- The page reloads to refresh your session.
It is safe to press even if you are not sure whether you already did: if there was no pending cancellation, it does nothing.
If the period has already expired and the subscription is fully cancelled, there is no "reactivate": go back to the plan list and subscribe again as you did the first time. You get your data back, but the free trial does not start over.
